Group this week's approved supplier invoices into payment runs for this client in Xero. Pull every approved invoice past the practice's payment-prep threshold, group by due date, payment method (Bacs, Faster Payments, CHAPS), supplier bank status and cash availability. Apply the practice's pay-run policy: which days the practice prepares, what categories pay early, what pay net of credit notes. For invoices nearing the late-payment threshold, recommend the pay run for senior approval. If a supplier is on the hold list, ask me whether to release or hold. Pause before publishing the proposed pay run. Save a note for the practice manager listing groups proposed, holds and items awaiting senior decision.
Validate bank details
Validate supplier bank details across this client's proposed pay run in QuickBooks. For each supplier, check sort code, account number and account name against the practice's preferred validation source. Use confirmation of payee where the bank supports it. Compare current bank details against the supplier history. For suppliers with recent bank changes, trigger a verification call to a known number on the supplier file. If a validation fails or a check is inconclusive, ask me whether to hold the supplier or refer to the senior. Pause before approving any change to a supplier's bank record. Screen for BEC risk
Screen this client's proposed pay run for business email compromise risk in Sage 50. For each supplier change request received in the period (new bank details, new invoice address, new contact, urgent payment request), check the sender domain against the supplier domain on file, scan for the hallmarks of BEC (urgency, unusual senior reference, near-identical domain) and trace the request back to a confirmed source. Pause any payment to a supplier where the verification trail is incomplete. If a request fits a BEC pattern, ask me whether to suspend the supplier and notify the practice's information security contact. Save a note for the practice manager listing requests cleared, suspended and items awaiting senior decision.
Issue remittances
Issue remittance advices after this client's payment file is submitted from FreeAgent. For each supplier paid, generate a remittance advice listing invoices paid, the payment date, the payment method and any deductions or credit notes applied. Send the remittance through the agreed channel: by email for suppliers on the email list, or post to the supplier portal where the supplier has one configured. Track delivery status and chase any bounced email through the supplier's alternative contact. If a remittance bounces and no alternative is on file, ask me whether to chase the supplier or to refer to the senior. Pause before resending. Save the remittance log to the payment run pack on Google Drive.
