Let AI Agent run your credit memos

Validate Reason

Validate pending credit memo reasons from this month for the selected client in QuickBooks Online. For each request (return, pricing error, billing error, goodwill credit, contract change, cancellation), pull the original invoice, amount to credit, sales tax line, and supporting documentation. Apply the firm's adjustment policy: which reasons need partner approval, which thresholds trigger review, and which cases do not allow a credit memo (closed period without restatement, fully consumed service). If the reason does not match the firm's table or documentation is missing, do not propose the credit, flag for review. Ask me for the firm's materiality threshold for credit memos and where supporting documentation lives. Send a Slack digest with validated reasons, cases under review, and rejected requests.

Issue Credit Memo

Issue validated credit memos from this month in NetSuite. For each one, reference the original invoice and reason, recompute the credit amount, line items, and sales tax with correct sign, and link the credit memo to the customer record and original invoice number for traceability. Maintain the firm's numbering convention for credit memos. If the credit affects an invoice in a closed period, do not issue without explicit approval, restating a closed period has tax and audit implications. Ask me which numbering series the firm uses for credit memos and whether each client requires customer sign-off before delivery. Pause before sending the credit memo to the customer or posting to the ledger. Send a Slack digest with issued credit memos, customer notifications pending, and exceptions.

Adjust Sales Tax

Adjust sales tax for the period in Sage Intacct to reflect this month's credit memos. For each credit memo, propagate the tax line to the correct jurisdiction and period (state, county, city) based on the original invoice's tax determination. If the credit memo affects a period for which the client already filed a return, do not apply the adjustment without approval, decide between amending the original return or adjusting the current period. Ask me the firm's policy for credit memos that cross filing periods and whether the client uses a sales tax engine downstream. Do not transmit anything to a state DOR, leave a review-ready packet. Send a Slack digest with adjusted tax detail, jurisdictions affected, and the proposed treatment per period.

Reconcile Customer Credit

Reconcile credit memos issued this month in Xero to refunds and open customer balances. If the credit memo cancels an unpaid invoice, apply it to the open balance. If the customer already paid the original invoice, prepare an ACH refund or post the credit to the customer's account per the firm's policy. For ambiguous cases, partial payment, multiple invoices affected, customer with active subscription, do not apply without approval. Ask me which clients prefer a refund vs account credit and the threshold for partner sign-off on refund release. Pause before any refund release. Save the credit memo, original invoice, and reconciliation pack to Google Drive, and send a Slack summary with closed reconciliations, pending cases, and customers carrying a credit balance.

Up to 80% Lower Cost to Serve

Credit memos are repeat work the firm performs for every AR client every month. Moving reason validation, issuance, sales tax adjustment, and reconciliation into supervised agent runs without changing who approves the credit drives Minded's positioning of up to 80% lower cost to serve.

Credit Note Issuance Against the Original Invoice

A credit note is not a free-standing document. Each one is issued against an original invoice, references the invoice number, mirrors the line items being adjusted (quantity, unit price, tax line), preserves customer-side traceability, and gets stored alongside the original in the customer file. The agent generates the document with the firm's numbering convention, links it bidirectionally to the source invoice, mails or uploads it to the customer per their preferred channel, and waits for confirmation before the AR sub-ledger update. For the rest of the AR cycle, see AR automation with AI, invoicing with AI, and collections with AI.

AR Sub-Ledger Update and Customer Balance Reversal

After the credit note ships, the AR sub-ledger has to absorb it cleanly. The agent posts the offsetting entry against the customer subledger account, reverses the receivable, and reduces the customer's open balance by the credit amount. Under ASC 606, revenue is reversed against the original performance obligation, not booked as a new sales line. The reversal lands in the same revenue account and same period when the period is open; when the period is closed, the agent flags for restatement instead of silently posting. The customer's aging report and statement reflect the credit on the next refresh.

How does credit memo automation keep the adjustment tied to the original invoice?

Minded checks the credit request against the original invoice, customer, item lines, amount, memo reason, and approval evidence. It prepares or posts the credit memo to the same customer account and links it back to the source invoice so the AR sub-ledger stays traceable.

Can Minded handle sales tax adjustments on credit memos?

Yes. Minded can compare taxable lines, tax codes, jurisdictions, invoice dates, and accounting periods before preparing the credit memo. If a period is closed or the tax treatment is unclear, it flags the exception for review instead of silently changing the sales tax position.

How does an outsourced controller review and approve customer credits?

Minded can route credit memo exceptions, missing documentation, unusual amounts, or policy mismatches to the controller in Slack or another review queue. The controller can approve, reject, or request more support, while Minded keeps the customer credit workflow moving with a documented audit trail.

Which systems can Minded update for credit memo and credit note workflows?

Minded works across common accounting stacks, including QuickBooks Online, Xero, NetSuite, Sage Intacct, and Zoho Books. It can prepare or sync credit memos, customer credits, refunds, attachments, approval notes, and AR sub-ledger updates depending on each client’s configuration and permissions.

How are customer refunds and open credit balances reconciled?

Minded matches the credit memo to the refund payment, unapplied customer credit, or future invoice application. It checks bank activity, customer balance details, and supporting documents, then flags mismatches such as duplicate refunds, unapplied credits, or credits that were issued without a corresponding customer adjustment.
